Get Organized in 2008!

The year started off with a bang as Peace of Mind was asked to speak at the Chamber’s Professional Development Series on January 8th. I had so much fun with the group. The participants were real troopers. The snow was 8 inches thick and coming down nonstop and we still had a great turn out.

Aimee has been working so hard calling all of Peace of Mind’s clients and partners to see if you’d like to be a part of our newsletter. I am able to view the email list and I am so thrilled to see so many names that I recognize. Please send me an email and let me know what you are up to and if there is a way that Peace of Mind can help to promote your business.

POM Prescription for February: Office Organization

P - Peace of Mind Prescription for Space Organization

P - Pull everythig out and define the space

E - Evaluate and classify

A - Action keep here keep elsewhere donate toss

C - Contain and display

E - Everything has a home

E - Evaluate and classify priorities

Take out a piece of paper and create these categories

  • Personal

  • Home/Family

  • Work

  • Other

List all of the tasks that you are responsible for under each category. Often, people are overwhelmed by the amount of commitments that they have. They really don’t know why they are always busy, but they seem frazzled and can’t seem to catch up. STOP. LIST TASKS. PRIORITIZE by underlining what you love and what is important to you. Then look at all of the items that are left. Decide to DELETE, DELAY, OR DELEGATE the left over tasks. YOU DON”T HAVE TO DO IT ALL!!!!

A - Action: Eliminate unnecessary paper and create a method for easy retrieval of paper

  1. Set boundaries as to what you let into your space.

  2. Remove yourself from mailing lists, catalogs, etc.

  3. Create Action and Reference Files for your piles

C - Calendar and Time Management

Decide on the calendar system that works best for you and stick to it. There are a variety of successful tools available. It is very important to have one active calendar. More than one calendar will result in missed appointments, double scheduling, and wasted time. Schedule time daily to attend to your action files. You will never have enough time during the day to accomplish all the things that you have on your list so be realistic. I once read that a person would need 42 hours a day to do everything that they “should” do in a day. Go back to your priority list and decide where to plug in the things that you love and keep it balanced with the things that you need to do. Remember to schedule in time for yourself.

E - Establish systems and routines to maintain order and increase productivity

  1. Be proactive with your day, not reactive “Putting out fires”

  2. Do the least desirable thing first for 15-20 a day and before you know it, you will accomplish the undesirable task

  3. Decide when you are going to check email and phone messages and set the boundary

  4. Divide your office into zones and assign a task to each day of the week to maintain order
